Subletting

Subletting your lease must be done in cooperation with the Secretariat. Getting a sublease contract approved takes time, so start the process as early as possible! Your sublease contract must be approved at least one month before the beginning of the sublease period.

When subletting your room, it is especially important to be aware of the following rules:

If you sublease your room for educational reasons, you can sublease for a period of up to 6 months starting from the 1st or 15th in the month.

If you wish to sublease your room for educational reasons, you can sublease for a period of up to 6 months (this can for example be the case if you are going on exchange or doing an internship as an integrated part of your education). The geographical place of study or internship during the sublet period has to be outside of reasonable commuter distance of Nybrogård Dormitory. Outside of Zealand is generally considered “outside of reasonable commuter distance”.

If you need to sublet your room for more than 6 months, you must apply for dispensation from the Board of the dormitory. The sublease period must start on either the 1st or the 15th in the month for the sake of collection of rent, which can only be done for a half or a whole month at a time.

If you sublease your room for non-educational reasons, you can sublease for a period of up to 3 months starting from the 1st or 15th in the month.

If you sublease your room for non-educational reasons, you can sublease for a period of up to 3 months (this is applicable if you for example go back to your home country during the summer or on an extended vacation for maximum 3 months).

The sublease period must start on either the 1st or the 15th in the month for the sake of collection of rent which only can be done for a half or a whole month at a time.

The dormitory’s sublease agreement form must always be used.

The dormitory’s sublease agreement form (download here) must always be used when you sublet. The form is approved by the legal department of KAB for this specific purpose, and other sublease agreement forms are not accepted.
Subletting or sublend of your lease without a sublease agreement and without informing the Secretariat is considered a breach of your lease contract.

The dormitory’s sublease agreement form must always be filled put and approved by the Secretariat at the latest 1 month before the sublease starts.

The dormitory’s sublease agreement form must always be filled out and approved by the Secretariat at the latest 1 month before the sublease starts. For example, if the sublease period starts on the 1st of March, it is your responsibility that the filled out sublease agreement form is approved by the Secretariat on the 1st of February at the latest. It is always recommended to hand over the sublease agreement to the Secretariat during their opening hours, so that they can let you know right away if your sublease agreement is approved.

If the sublease contract has not been turned in to the Secretariat at least one month before the sublease period starts, you either risk that the sublease agreement will not be approved or that the sublease period must be changed so that the start date of the sublease fulfills the one-month-in-advance-rule.

Both the sub-lessor (current tenant) and sub-tenant must be active students for the whole duration of the sublease period – documentation for study activity must be attached to the sublease agreement.

Regardless of the duration of the sublease, it is required for both the sub-lessor and the sub-tenant to be active students during the entire sublease period. The Secretariat must be given documentation for study activity covering the whole sublease period. Documentation for your study activity in a foreign country can be an admission letter from the foreign university or something similar. The sub-tenant must also turn in documentation of his/her study activity in Denmark. Documentation for their study activity in Denmark can be an admission letter from a Danish university or something similar. If you are not sure what kind of documentation is sufficient, please contact the Secretariat.

You are NOT allowed to make profits from subleasing your room at Nybrogård Dormitory.

The rent must be fixed in such a way that it covers the actual costs for the sub-lessor in relation to the room at Nybrogård Dormitory during the sublet period. It is NOT allowed to fix the rent at a higher rate than this, thus making profits from subleasing your room at Nybrogård Kollegiet.

You are NOT allowed to sublease your room using airbnb.com or similar platforms.

Renting out your room using airbnb.com or similar platforms is categorized as sublease, even if the rental period is only a few days. As rental through these platforms does not meet the rules of the dormitory’s sublease (as eg. the rental agreement is not approved by the Secretariat, there is no study control taking place etc.), renting out using these platforms is considered illegal sublease. This is a very serious issue, which may have concequences for your continued lease of your dorm room. Therefore, please refrain from using these platforms to sublease your room at Nybrogård Kollegiet.

Always consult with the Secretariat when you sublet:

There are many rules and procedures which must be followed when you sublet – and they may be difficult to keep track of. You should always contact the Secretariat when you sublet to minimize the risk of misunderstandings and mistakes. The Secretariat can help you fill out the sublease agreement form right and turn in the right documents.
